Cancellation and Refund Policy

Coaching Sessions

At PATHLETE, we understand that schedules can be unpredictable, and flexibility is crucial when it comes to planning your training sessions. To accommodate our members, we offer a comprehensive cancellation and rescheduling policy designed to respect your time and ours.

Cancellation Guidelines:

  1. Advance Notice: You can cancel your coaching session up to 48 hours before the scheduled time without incurring any penalty and with full refund. This advance notice allows us to adjust our schedules and offer the slot to other athletes who might be looking for a training session.

  2. Cancellation Procedure: To cancel a session, click on the ‘cancel’ button next to the booked session. Cancellations made more than 48 hours before the session will receive a full refund. Cancellations made within 48 hours of the session will not be eligible for a refund.

  3. Late Cancellations and No-Shows: Cancellations made within 48 hours of the session or failing to show up for a session without prior notice will result in the forfeiture of the session. This policy ensures that our athletes’ time is valued and prevents last-minute gaps in their schedules.

  4. One-Time Waiver: We recognize that unforeseen circumstances can arise. In exceptional cases, we may offer a one-time waiver for late cancellations or no-shows at our discretion. To request a waiver, please explain your situation in detail when contacting us.

Clinics

Clinics are a vital part of our training program, offering valuable group training experiences. We strive to provide an optimal experience for all participants, and our cancellation policy reflects this commitment.

Clinic Cancellation Policy:

  1. Full Refund: You can cancel your clinic booking up to 48 hours before the event for a full refund. This policy gives you the flexibility to manage your commitments without financial loss.

  2. Cancellation Procedure: To cancel a clinic booking, please email us with your name and booking details. We process cancellations promptly to ensure you receive your refund as quickly as possible.

  3. Rescheduling by Coaches: If a coach cancels a session within 48 hours of its scheduled commencement, the user will receive a full refund. If a coach needs to reschedule a session more than 48 hours in advance, users will be promptly notified. If the rescheduled date is not suitable, users may opt to attend an alternative session. Please note that the transaction fee of $1 (subject to change without prior notice) is non-refundable in such cases.

  4. Alternative Sessions: We will make every effort to offer an alternative session that suits your schedule if the original session is rescheduled. Our goal is to ensure you do not miss out on the training experience you planned for.

We understand that emergencies and unforeseen events can disrupt your plans. Our policy includes provisions for such situations to ensure fairness and flexibility.

Handling Special Circumstances:

  1. Emergency Situations: In case of an emergency or unforeseen event, please contact our support team at support@pathlete.com as soon as possible. Provide detailed information about your situation so we can understand the context and offer appropriate support.

  2. Individual Assessment: Each case will be assessed individually. We aim to be as accommodating as possible, considering the nature of the emergency and its impact on your ability to attend the session or clinic.

  3. Fair Solutions: Our team will work with you to find a fair solution, which may include rescheduling the session or offering a credit for future use. We prioritize fairness and understanding in these situations.

Provider Cancellations

There may be instances where we need to cancel a session or event due to unforeseen circumstances. We have policies in place to minimize inconvenience and ensure you are informed and compensated appropriately.

Provider-Initiated Cancellations:

  1. Timely Notifications: If we need to cancel a session or event, we will notify you as soon as possible. Timely communication is key to minimizing any disruption to your plans.

  2. Rescheduling Options: In case of a cancellation, we will offer you the option to reschedule the session at a mutually convenient time. Our goal is to ensure you still receive the training you booked.

  3. Alternative Solutions: If rescheduling is not possible, we will provide an alternative solution, which may include a refund or a credit towards future sessions. We strive to ensure that you are not disadvantaged due to provider-initiated cancellations.
